We are currently seeking a Central Hub Manager to join DHL eCommerce Malaysia!

The Central Hub Manager will be responsible to oversee and monitor all inbound and outbound at the Central Hub to ensure timely, accurate and profitable processing of shipments as per defined processes and policies. To lead fleet management in terms of procurement, vendor management, capacity utilizations, etc. Support in the planning of the network (comprising long-distance line hauls and pickup-tours, subcontracted or in own management) for the organization

Essential Duties and Responsibilities

Hub Management

  • Define and implement Hub design and shipment processing within the framework of the general concepts and guidance by head of operations

  • Identify opportunities for enhancement of infrastructure in the hub and of implementation of automation interventions in the hub for efficiency& optimization.

  • Provide estimation and proposals space required for the Hub/ Warehouse and the prospective location of the same

  • Evaluate existing infrastructure at the hub vis-à-vis growth targets and prepare capital expenditure or capacity expansion proposals ( additional space, conveyer belts, WDL machines etc)

  • Provide data inputs to the Senior Management Team on proposals for new products/ services that can be introduced in the existing network and reach enhancement initiatives

  • Develop annual budget for central Hub and ensure implementation.

  • Ensure adherence to budgeted capital and operational costs for the hub; Track Operating Costs per Movement (OCPM) and Operating Cost per Kilogram (OCPK) on a regular basis and take corrective actions, if any

  • Devise suitable KPIs for Hub operations

  • Ensure the timely connection of shipments to the service centers & upcountry locations

  • Drive adherence to Standard Operating Procedures in the Hub

  • Monitor the - Hub operations performance against the set targets/ performance benchmarks and identify and drive implementation of corrective actions

  • Support the design and development of operational workflows, procedures and Standard Operating Procedures (SOPs) for the - Hub Operations, in conjunction with the - Operations Team

  • Oversee and ensure that all network& local connections are done on time and as per commitments

  • Oversee & monitoroperations in terms of tally of shipments anddocumentation

  • Oversee all daily inbound, outbound and transit operations at the - Hubs (including Point to Point loads)

  • Oversee operation support activities as per defined timelines and requirements in terms of mail reverts and handling of all exception cases e.g. regulatory issues, priority/ urgent shipment connections, etc.

  • Oversee appropriate completion of all necessary regulatory clearancesand adherence to all statutory laws pertaining to hub operations (this point could be used for the other heads as well , respectively)

  • Responsible for liaising effectively with local statutory, civic and Government bodies for resolution of any local issues for ensuring smooth operations of the - Hub(this point could be used for the other heads as well , respectively)

  • Ensure appropriate space management and facility management of the - Hub

  • Ensure adequate manning of the - Hub in terms for full-time employees, PDAs, loaders, etc.; Coordinate with Management for manpower requirements

  • Oversee the conduct of regular trainings for regular operations staff, PDAs, loaders, etc. in line with the training programmes designed centrally

  • Ensure safety and security of all shipments in the - Hub

  • Oversee local payments and other accounts related activities of the - Hub

  • Oversee the preparation of roaster for shifts, finalizing of attendance and leaves for all employees, in collaboration with the Shift In-charges

  • Plan for effective management of contingencies/ emergencies to ensure continuity of - Hub operations

  • Ensure adherence of operations teams to safety, health and environmental requirements

  • Perform the business partner function for all IT system used in hub operations (i.e. requirements for further development in encoding, labeling, scanning, as far as hub processes are concerned)

Transport Management

  • Responsible for implementing strategies, procedures, workflows and Standard Operating Procedures (SOPs) for Fleet Management Function

  • Monitor expenses under various heads and ensure adherence to the departmental budget

  • Responsible for developing standard operating procedures (SOPs) for Fleet Operations and ensure adherence to the same

  • Responsible for the quality and performance of the daily linehaul operations

  • Closely monitor daily allocation of network vehicles for various runs/trips and planning of different size of vehicles on routes (depending on loads) along with the Local Teams

  • Setting up of network control center to monitor the running of vehicles and taking steps in case of exceptions

  • Ensuring/Coordination/Supporting for procurement of vehicles for network, country wide, as per requirement

  • Support Head –Operations in network design, actively contribute to the building and expanding of transport capacities and means according to the development of the business

  • Identification and empanelment of fleet vendors for network vehicles

  • Monitor the process conducted by the local teams for identification and empanelment of fleet vendors for Network.

  • Maintenance of a database of fleet vendors and brokers for contingency requirements.

  • Monitor vendor performance and ensure corrective action (if any)

  • Support in conduct of regular safety trainings and briefings for drivers

People

  • Provide direction, guidance and support to employees to help them discharge their duties effectively

  • Monitor the performance of the team on a continuous basis to identify key performers

  • Mentor and coach subordinates to develop the team’s capabilities and build a robust succession pipeline

  • Ensure that the hub is adequately staffed as per the manpower requirements

  • Ensure high level of employee engagement and retention of key performers

  • Identify training needs and opportunities to develop a highly skilled functional department

Desired Skills / Qualifications

  • Minimum 5 years of experience in logistics and transport management or related fields preferred

  • Excellent analytical skills

  • Preferably someone with process improvement experience

  • Good communication skills (English and Bahasa Melayu), written and spoken

  • Strong organizational skills with ability to multitask and prioritize under pressure

  • Ability to manage teams and communicate effectively

  • Good MS Office skills (Word, Excel, PowerPoint)

Minimum Educational Qualification

  • Bachelor’s Degree in relevant discipline
