Administrative Assistant- Chicago O'Hare

Grow your CAREER!  DHL currently has an immediate opening for an Administrative Assistant at our Chicago, IL Gateway location at O’Hare Intl Airport. The successful candidate will provide a variety of secretarial and administrative support duties for departments, functional groups and/or executives. 

Key Responsibilities
  • Administers programs, projects and/or processes specific to the operating unit served.

  • Types letters, memoranda and reports from drafts and proofreads and reviews documents for grammatical and numerical errors.

  • Schedules resources such as people, meetings, appointments, rooms, equipment, or other resources.

  • Prepares high quality presentations, reports, and other documents using word processing, spreadsheet and presentation software packages.

  • Answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties.

  • Maintains updates or creates databases and/or database information.

  • Codes, compiles and files correspondences, records, documents and reports according to an established system.

  • Performs administrative functions such as ordering department supplies, coordinating equipment repair, making staff travel arrangements.

  • Takes and prepares notes of meetings, conferences, and similar proceedings.

  • Sorts and distributes mail and packages to appropriate parties.

  • Greets and assists visitors and arrange for escorts, as necessary.

  • Prepares, checks and processes expense reports.

  • Gathers and arranges materials and relevant information for assigned project or person.

  • May prepare, organize and maintain documents and files of a complex or confidential nature.

  • Mailroom and mail services, including shipping, receiving, internal and external distribution, as well as, postage metering/reporting.

  • Management and control of consumables inventory to ensure proper stock levels and inventory management methodology is used.

  • Work alongside Corporate Legal, Risk and Procurement divisions.

  • Ensure timely and detailed tracking and reporting of expenses.

  • Support and participate in the Social Responsibility Committee as needed.

  • Role model to subordinate peers and service providers; instructs and teaches others. 

  • Process and submit SIDA & CBP badge applications and renewals

  • Assist in the coordination of Gateway Activities  

Skill & Qualification
  • Subject matter expert in service, production, or support area of responsibility.

  • Performs all of the standard and all of the specialized and most complex aspects of the function.

  • Technical certification or Associate degree may be required in some areas.

  • Generally 4+ or more years of experience in related area of responsibility.

  • Complete understanding and wide application of principles, theories and concepts in office/facility management.  

  • Strong understanding of 3rd party service provider concept, philosophy and management.  

  • Superior customer service skills with a proactive/preventive mindset. Prior GeT/SAP experience strongly preferred.  

  • Prior operations, administration and/or customer service experience strongly preferred.  

  • Proficient in Microsoft Office (Excel, Powerpoint)
