1.    Job Purpose
    Our DHL Supply Chain Strategy 2020 is paving the way for our future as an organization in terms of how we will grow our business and ensure our success for years to come. The role supports this as the candidate needs to provide high quality executive assistance and administrative support to the DSC MLEMEA teams as well as handling the office management to ensure the smooth delivery of various set of initiatives that drive efficiency and growth. This includes assisting with special projects and serves as a liaison to the board of directors and senior management teams, and specially supporting the DSC MLEMEA teams in their daily business.

2.    Principal Accountabilities

  • Completes a broad variety of administrative tasks for the teams: Admin onboarding and offboarding (batches, IT equipment, email addresses, mobiles, etc.), organize
    meetings, manage appointment organization with many parties, all orders in GET,
    etc.
  • Supports office management, which includes for example ordering of office stationary, updating floor plans and kitchen plans
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the DSC MLEMEA teams, including those of a sensitive or confidential nature. Determines
    appropriate course of action, referral, or response
  • Works closely and effectively with the DSC MLEMEA teams to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Successfully completes critical aspects of deliverables with a hands-on approach, including preparation of materials, presentations and communication
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Support the DSC MLEMEA teams to manage diverse workload and activities

3.    Knowledge, Skills and Experience

  • Experience in DSC or other division is highly beneficial
  • Ideally 3 to 5  years of experience supporting multiple mid-level managers and above, preferably in a global organization
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
  • Experience in diary management, travel arrangement, expense claims and good telephone manner
  • Good attention to detail and organizational skills with the capacity to build strong relationships
  • Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly
  • Ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Positive 'can do’ attitude
  • University Degree or equivalent desirable
  • Businessproficiency in English and German
